Quarterly Billing Overview
SEO runs entirely on calendar-quarter billing. This structure keeps all accounts aligned, organized, and predictable for both your agency and our operations team.
Quarter | Dates |
|---|---|
Q1 | January 1 – March 31 |
Q2 | April 1 – June 30 |
Q3 | July 1 – September 30 |
Q4 | October 1 – December 31 |
Key Billing Points
Each client account is billed for the full quarter of deliverables.
Billing cadence is monthly (one invoice per month).
New clients entering mid-quarter follow specific rules — see Mid-Quarter Starts.
All pricing is based on the selected SEO package tier (Essentials, Grow, or Elevate).
Launch Fee
All new SEO Phoenix campaigns include a one-time $199 Launch Fee.
This covers:
Account setup and onboarding
Access verification and platform configuration
Initial baseline and tracking setup
You’ll see this reflected on the first invoice after launch.
Mid-Quarter Starts
New clients can start at any point in the quarter — here’s how billing and deliverables are handled:
Start Timing | Deliverables | Fee Structure |
|---|---|---|
Day 1–45 of the quarter | Full quarterly deliverables | Full quarterly investment (billed monthly) |
After Day 45 | Baseline + roadmap only (no content deliverables) | One-time $695 fee |
Example
If your client starts in the second month of a quarter and wants full deliverables, they’ll be invoiced for the remaining months at full value.
For example:
A $999/mo package starting mid-February will be billed at $1,498.50 for February and March.
Note: This ensures your client still receives a full quarter’s deliverables and stays aligned with the calendar-quarter cycle.
Quarterly Commitments
SEO Phoenix operates on a quarterly commitment policy to protect deliverable pacing and planning.
Commitment Rules
All new SEO Phoenix accounts commit to one full quarter at minimum.
Renewals automatically roll into the next quarter unless canceled (see below).
Agencies must provide 15 days’ notice before the end of the current quarter for any cancellations or downgrades.
Example:
To cancel or change an account for Q2 (ending June 30), you must notify the team by June 15.
Why Commit Quarterly?
Quarterly commitments give your agency and our team:
Clear planning windows for content and link acquisition
Stable reporting and performance data
Consistency across all SEO accounts
Upgrades, Downgrades, and Cancellations
Upgrades
You can upgrade an account anytime within the first 45 days of a quarter.
We’ll relaunch your account with a new roadmap and adjust the invoice to reflect the new tier.
Upgrades after Day 45 take effect next quarter.
Downgrades
Downgrades take effect at the start of the next quarter.
Please provide 15 days’ notice before quarter end to adjust roadmaps and staffing.
Cancellations
Cancellations also take effect at the start of the next quarter.
Quarterly reports and dashboards deactivate at that time.
Any in-progress deliverables for the current quarter will still be completed and billed as scheduled.
Example Scenarios
Scenario | Outcome |
|---|---|
Client starts Feb 10 (Q1) | Full deliverables; billed $1,498.50 for Feb + Mar |
Client starts Mar 5 (Q1) | Baseline + roadmap only; $695 one-time fee |
Client upgrades from Essentials to Grow on Feb 13 | Allowed; new roadmap built; invoice adjusted |
Client cancels on March 28 | Cancellation takes effect at start of Q2 (April 1) (no Q1 billing) |
Client wants to downgrade mid-quarter | Downgrade applies next quarter with 15-day notice |
FAQs
Why quarterly billing?
SEO is built around quarterly deliverables, reporting, and roadmaps.
Aligning billing with delivery ensures smoother planning, consistent timelines, and clear communication with your clients.
Can clients start SEO Phoenix at any time?
Yes. They can start any time, but deliverables depend on when they enter the quarter (see Mid-Quarter Starts).
Do I have to sign a contract per quarter?
We strongly recommend having your clients commit quarterly. Conduit requires this for all SEO accounts to ensure campaign alignment and quality control.
What happens if my client cancels mid-quarter?
Work continues through the end of the current quarter.
The cancellation takes effect at the start of the next quarter, ensuring planned deliverables are completed.
Is there a discount for multi-quarter commitments?
Currently, no. Each quarter renews independently to allow flexibility, but long-term clients benefit from consistent SEO momentum and performance gains.
