Teamwork is Conduit’s project management platform of choice, and it’s where all communication is had with your Conduit Account Team. Whether you’re discussing a specific account, a sales opportunity, or need some guidance on how best to use your agency tools, it all happens in Teamwork.
Which section of Teamwork best describes what you're looking to learn more about?
Project structure
A Teamwork project is the name of the medium where the communication and collateral organization takes place. Anyone at your agency who is involved in the day-to-day with Conduit will receive an invite to the Teamwork platform and will be assigned to the appropriate projects.
Before getting started, there are two project levels, which will be discussed below and recur throughout this article.
Agency-level project
Account-level project
What's in the agency-level project
Your agency has its own project (conveniently named after your agency). This is where any high-level, typically non-account specific communication is held. Some examples of agency project topics are:
Sales opportunities
Agency announcements like new product launches or updates
Questions from your team about using our partnership tools such as the Playbook, margin calculator, help center, etc.
Scheduling partnership calls
New agency personnel introductions
We recommend all agency employees who are involved with Conduit to be added within this Teamwork project for the most efficient and effective communication to take place.
What's in the account-level project
Each account your agency is running with Conduit will also have a Teamwork project. All communication related to that specific account will happen here, along with account-specific links, information, files, etc. that we'll get into throughout this article.
Messages
Messages are the most important use case for Teamwork. This is how Conduit communicates with our agency partners and how our agencies communicate with us.
You might be thinking, “I really rely on my email. I hope this integrates somehow…” and we’ll tell you not to fret - Teamwork integrates with your email so you’ll never miss a message notification (more on that in this section)! Let’s dive into the use cases for messages in an agency project vs. an account project, as well as some best practices.
Messages for the agency-level project
As you might recall from the Project section overview in this article, message threads in agency projects are mainly used for the following topics:
Sales opportunities
Agency announcements like new product launches or updates
Questions from your team about using our partnership tools such as the Playbook, margin calculator, help center, etc.
Scheduling partnership calls
New agency personnel introductions
Messages for the account-level project
Throwing it back to the Project section of this article again, message thread in account projects are used for account and campaign specific conversations.
Creating a message
A series of messages is called a message thread. You can create a new message thread or reply in an existing one when it comes to communicating with your Account Team.
Conduit uses a term called threadiquette which stands for thread + etiquette. It basically means we bucket our communication to avoid a bunch of one-use message threads that create clutter. In the message section, you’ll see common subject lines like Revisions, Onboarding, Reporting, Budgets, Pre-Sales, and even threads named after the platforms that your account is running so we can further categorize discussions.
We encourage our agency partners to take advantage of threadiquette and reuse existing categorized threads when initiating conversation that falls within these topics. However, in the instances where something is too specific to bucket, it’s totally fine to create a new thread! Let’s review messages a little more below.
Replying to an existing message thread
When you’re in the Message view, select the thread you want to add communication in.
Click the Add Reply button and type your message in the body.
Ensure your Conduit Account Manager and anyone from your agency that should be looped in are tagged on the message. It’s extremely important that you tag your Account Team on your messages otherwise communication will be missed.
Click the Post Your Reply button.
Creating a new message thread
If none of the existing message threads fit the topic of your communication, select the +Add a message button at the top of the screen when you’re in the Message view.
Input a concise subject line and write your message in the body.
Tag your Account Manager and anyone from your agency that should be looped in by clicking +Select People and choosing their names. Click Update.
Post message.
Your Conduit Account Team will respond in the thread where your message was posted within our turnaround times.
Responding to Teamwork messages from email
While we’d love to think that you eat, sleep, and breathe Teamwork the way we do and keep your projects open as browser tabs all day long, we know that’s probably not a reality (yet!). Tagging people in message threads ensures that they get a push notification to their inbox when a message is sent.
The email will show the project name, message thread name, who sent the message, and of course the communication itself. From here you have two options to reply: you can click the message hyperlink (red arrow pointing in screenshot) which will bring you to the Teamwork project, or you can respond directly to the email which will be copied to the Teamwork thread
Providing feedback on recaps and analyses
We appreciate and encourage feedback from our agencies about our recaps and analyses. The best place to provide this is in the Reporting message thread within the account project. If the feedback is more holistic and not account-specific, feel free to reach out to your Account Team in your agency project.
Files
Files in the agency-level project
The file section in the agency project is predominantly used for housing pre-sales opportunity forms and one-sheets that are used as supporting documents for new Conduit offering launches.
Files in the account-level project
The file section in the account project houses all important files like creatives, insertion orders and other submitted forms, and attachments like excel documents. The section is organized by date that the document was uploaded to the project, but you can also use the filter function to hone in even more easily to a specific file.
Links
Links in the agency-level project
The links section in the agency project is where you can find the link to your Agency Hub. We recommend bookmarking this link since it’s your home base and houses all the most important resources for you. If you forget to bookmark, no worries, your agency account project will have it!
Links in the account-level project
The links section in the account project is where you can find the link to the Performance Dashboard. This is another resource that you’re able to conveniently find within your Agency Hub, but if you’re already in the account project, you’re just one click away from accessing the Performance Dashboard.
Notebooks
Notebooks are almost exclusively used at the account project level and their main purpose is to serve as the medium for your client’s monthly recaps and analyses.
Our account team will create a new notebook in your client’s account project each month and label it accordingly so you’ll be able to easily locate the recap or analysis you’re looking for. Your monthly recap or analysis notebook will be published by the 4th business day of the month, and your Account Team will notify you in your agency project as a reminder!
Want to provide feedback or ask questions about the recap or analysis that your received? Hop over to the messages section for that process!
People
This section is managed by Conduit, but you have view access to see who of your team and the Conduit Account Team are added to each project you’re a part of.
If there is ever a need to add or remove someone from your agency to/from a project, reach out in a message to notify your Account Manager and we’ll do so ASAP!
